5. Provision of personal data and personally referable information to third parties outside Japan

Of the above, Shopify Commerce Singapore Pte. Ltd. (Singapore), Klaviyo, Inc. (United States), Gorgias, Inc. (United States), Microsoft Corporation (United States), and Google LLC (United States) are third parties located outside Japan. Personal data may be handled in Singapore, Canada, the United States, Ireland, the Netherlands, and other countries through these providers and their group companies and sub-processors. The countries involved may change as those providers alter their infrastructure. To generate automated chat answers, Klaviyo, Inc. processes the content of enquiries through AI providers it engages, mainly in the United States.

We have data processing agreements in place with these providers and, under APPI Article 28(3) and Article 18(1) of the APPI Enforcement Rules, we periodically confirm how each provider implements its measures and whether the law of the relevant country may affect that implementation. Where implementation is impeded we take the necessary and appropriate measures, and where its continued implementation becomes difficult we suspend the provision of personal data.

Information about the countries involved, their data protection regimes, and the measures each provider takes is available on request through the contact point in section 9.

6. Security measures

  • Physical — we manage the devices used to handle personal data and restrict their removal.
  • Technical — we require multi-factor authentication for access to the systems that hold personal data, and encrypt data in transit.
  • External environment — we handle personal data through cloud services and providers located outside Japan, including in Singapore, Canada, the United States, Ireland, and the Netherlands. We have assessed the data protection regimes of those countries and take the measures necessary and appropriate for secure management accordingly.

Enquiries about our security measures may be sent to the contact point in section 9. We may withhold details where disclosing them would compromise the security of the personal data we hold.

7. Requests for disclosure and related rights

You, or your representative, may request notification of the purposes of use, disclosure, correction, addition or deletion of content, suspension of use or erasure, and suspension of provision to third parties, in respect of the retained personal data and third-party provision records we hold about you.

For disclosure requests you may specify delivery either by electronic record or in writing. If you do not specify, we will disclose by electronic record (PDF). Where the method you specify is not practicable we will disclose in writing.

Send requests by email to the contact point in section 9. Once we have verified your identity we will respond without undue delay in accordance with the law. Please include your name and the email address you registered or ordered with; an order number helps where the request concerns an order.

A voluntary representative should provide a letter of authority; a statutory representative (a person with parental authority, a guardian) should provide a document evidencing that authority. No fee is charged.

8. Retention

We retain personal data for as long as it is needed for the purposes above and endeavour to erase it without delay once it is not. Transaction records that we are required by law to keep are retained for the period the law requires.
